Ever spot an applicant who might be perfect for another role? Or maybe you want to tag a whole group for future consideration? Whether you're looking to move one person—or update a big group all at once—you’re in the right place.
Let’s walk through how to move, copy, or make batch updates to your applicants like a pro.
NOTE: You must be assigned as a hiring manager for the job you are moving them to as well as the job you are moving them from.
Option 1: Move or Copy a Single Applicant
Sometimes it’s all about one stellar candidate who just belongs elsewhere. Here's how to move or copy them to a different job or category.
Step-by-Step:
Open the Job Listing:
Head to your Job Listings Grid and click the Job Title of the position the applicant is currently in.
Open the Applicant’s Profile:
Locate the applicant.
Click View Applicant to open their application.
Choose Move or Copy:
In the top-right corner of the application viewer, click Move (suitcase icon) or Copy Applicant (copy symbol).
Select the New Position:
If you click Move, a “Move Application” window will appear:
Choose the Position: Use the dropdown to select the new job or category. (Pro tip: Active jobs are bolded; inactive or categorized ones are not.)
Notify Managers (Optional): Want to keep your teammates in the loop? Check the box to send a heads-up.
Click Move Applicant to seal the deal.
If you click Copy, a “Copy Application” window will appear:
Choose the Position: Pick where to copy the applicant.
Click Copy Application to finish.
What Happens Next?
The applicant’s profile will show up in the new job listing or category, ready for whatever’s next in their hiring journey. Easy!
Option 2: Bulk Update or Move Multiple Applicants
Need to make changes to a whole crew of applicants at once? The Applicant Grid is your command center for all things batch updates—like moving people to a new job, tagging them, adding notes, or changing their status.
Important!
You can only update up to 500 applicants at a time. If your list is longer, break it into smaller batches.
You must be a hiring manager on both the current job and the job you're moving applicants to. Otherwise, that option won't appear for you.
Here's How to Update Applicants in Bulk:
Select Your Applicants:
Use filters to narrow down the group you want to update.
Check the boxes next to their names to select them.
Pro tip: You can select up to 500 applicants per batch.
Choose an Action:
Click the Select Action dropdown menu.
Choose Update Applicants.
Make Your Updates:
In the Update Applicants window:
To move them to a new job, check "Move to different job" and select the job from the dropdown.
While you’re here, you can also:
Change their status
Add or remove tags
Drop in some internal notes
Click Update Applicants to apply the changes.
And that’s it! Your updates are saved, and your pipeline is cleaner than ever.
