Every so often, you'll come across an applicant who really wants to work with your company. Maybe they’ve applied for the same role more than once, or they’ve thrown their hat in the ring for multiple positions. Rather than evaluating each application from scratch, we’ve designed helpful alerts to keep you organized and make tracking these applicants a breeze.


How Duplicate Alerts Work

Our system uses two specific tags to flag repeat applications:

  • "Applied Multiple Times" – Shows up if an applicant applies more than once for the same position.
  • "Applied to Multiple Jobs" – Indicates that the applicant has applied to more than one position at your company.


Note: Duplicate applicant alerts are based entirely on the applicant's email address. An alert will only be triggered if an applicant applies for your position or to your company more than once with the same email address.

Where to Find Duplicate Alerts

You'll see these alerts in two main areas:


1. On the Applicant Grid

  • Look for an alert next to the applicant’s name in the grid. You’ll see a count like +2 or +3, showing the number of times the applicant has applied.
  • Click on the number to view all their applications associated with that email.

  • Bonus tip: If you want a complete list of all duplicate applicants, use the filter to view by these generated tags for easy sorting.

2. In the Applicant Info Tab

  • Open the applicant’s profile, and you’ll find the duplicate alert in the Applicant Info tab.
  • Click the “Applicant applied multiple times” link to see a summary of each application, including past ratings and statuses. This helps you quickly gauge their application history without backtracking.
